What You'll be Doing

  • Employee Experience: The heart of this role is the employee experience. Create and maintain an office environment where employees seamlessly thrive.
  • People Leadership: Cultivate an inclusive team environment by mentoring a diverse workforce and enhancing the employee experience. Champion effective communication and secure buy-in for change initiatives while guiding team dynamics and fostering professional development. Demonstrate adaptability and dedication to collective success by supporting other roles as needed.
  • Effective Communication & Stakeholder Engagement: Foster a culture of open communication, actively engaging with executives, stakeholders, and employees to convey the strategic benefits of workplace initiatives. Encourage feedback and lead brainstorming sessions to drive operational innovation and improve processes. Build strong cross-departmental relationships with IT, Finance, Legal, and beyond to ensure seamless collaboration and alignment.
  • Onboarding Engagement: Align onboarding processes with workplace management to deliver exceptional experiences for new hires. Partner with HR, IT, and departmental stakeholders to enhance employee engagement initiatives and foster connections across teams.
  • Strategic Space Management: Lead initiatives for office expansion and space utilization in Austin, TX, Tampa, FL, and beyond, overseeing scalable build-out projects to ensure smooth transitions for employees. Incorporate sustainability initiatives and crisis management planning into the workplace strategy. Own end-to-end project delivery for key initiatives, driving successful execution within timelines and budgets.
  • Vendor Management & Cost Efficiency: Oversee vendor negotiations to secure favorable terms and ensure alignment with business needs. Own vendor relationships while managing and adhering to an annual budget to maintain operational cost-effectiveness. Develop scalable frameworks for inventory management and reconciliation to support operational efficiency and ensure timely project delivery within budget constraints. Monitor vendor performance to verify they consistently deliver on commitments, meet service expectations, and uphold contractual agreements.
  • Data Analysis & Reporting: Build, maintain, and leverage data analysis to support decision-making and drive operational efficiency. Manage reporting, tracking, and analysis across project timelines, deliverables, and budget adherence. Use insights to refine pricing strategies and secure cost savings, directly enhancing workplace operations and overall performance.
  • Change Management Leadership: Spearhead the creation and implementation of scalable change management programs to facilitate smooth transitions during expansions and operational changes. Present innovative, results-driven solutions to stakeholders, guiding teams through challenges with a collaborative approach and fostering problem-solving without being anchored to a single perspective. Leverage strong communication skills to pitch diverse strategies, prioritize optimal outcomes, and ensure alignment across teams.
  • Event & Guest Management: Plan and execute events that reflect NinjaOne's commitment to exceptional experiences. Implement and oversee access and security protocols for employees, guests, and vendors, ensuring compliance with safety regulations.
  • Disaster Response Planning: Develop and implement comprehensive disaster response plans and communication strategies to ensure employee safety and business continuity during emergencies.
  • Other duties as needed.


About You

  • 6+ years in progressive global multi-office facilities and operations, including 2+ years in people leadership.
  • Proven expertise in managing the full real estate lifecycle and implementing scalable office programs in dynamic, fast-paced environments. Skilled in global change management strategies that drive seamless growth and adaptability.
  • Demonstrated success (with the receipts to prove it) in event management, focusing on creating unforgettable experiences for employees and guests alike.
  • Exceptional communication skills with a proven ability to engage and influence diverse teams, stakeholders and vendors. A refined dedication to providing outstanding service through collaboration and ensuring strategic alignment throughout the organization.
  • You are a self-driven professional who thrives in both autonomous and collaborative environments, capable of navigating the demands of a fast-paced, ambiguous setting.
  • Strong knowledge of compliance with federal, state, and local regulations regarding workplace safety and operations, including ADA standards.
  • Ability to interpret construction specifications, documents, and working drawings, with a strong understanding of general maintenance and operational requirements.
  • You are OSHA certified, able to stand for long periods, regularly lift/move/push/pull up to 65 pounds, and carry up to 40 pounds; and hold a valid Texas Driver's License with a good driving record and adequate automobile insurance.
  • Certifications in the following a big plus: Green Certified Professional (GCP), Cleaning Industry Management Standard (CIMS), ServSaf, Facilities Management Administrator (FMA), Project Management Professional (PMP), Facility Management Professional (FMP), Certified Facility Manager (CFM), or CPR and First Aid.
