The impact you will have
As part of our dynamic global Sales Administration team, you will play a crucial role in scaling and supporting our order management processes. We are looking for a new Order Management Specialist to join our team based in Austin, Texas, and help drive the successful execution of customer orders and business growth. This is a fantastic opportunity to contribute to our expanding business while working collaboratively with cross-functional teams and deliver exceptional service to both internal and external stakeholders.
On a daily basis, you will
- Process and Manage Orders:
- Process all incoming customer orders, including new business, upgrades, renewals, and online purchases.
- Conduct thorough order reviews, ensuring that Service Level Agreements (SLAs) are met and quality standards are maintained.
- Collaborate closely with the Sales team to validate order specifications, ensuring precision and proactively resolving any discrepancies or accommodating special requests.
- Handle Invoicing & Billing:
- Manage administrative tasks related to customer invoicing and payments.
- Coordinate with Finance and Legal teams to ensure proper resolution of invoicing issues and administrative requirements.
- Handle and resolve invoice disputes, collaborating with different stakeholders and ensuring timely communication with customers.
- Assist the Finance team with payment collections, providing administrative support as required.
- Manage SLAs & Customer Communication:
- Deliver timely responses to both internal and external customers, ensuring that all requests and issues are addressed within established SLAs.
- Act as a key point of contact for order-related queries, ensuring customers are kept informed throughout the order lifecycle.
- Improve Processes & Data Integrity:
- Contribute to maintaining data accuracy in Salesforce, ensuring that all order information is correctly captured.
- Continuously seek improvements in order management processes.
- Embrace new tools and methods that enhance order management efficiency and streamline workflows.
The skills you demonstrate
- 3+ years of experience in an order management or sales operations support role within an international environment, ideally within the IT or SaaS industry.
- Proven track record of managing complex order processing tasks and administrative processes in a fast-paced, global business.
- Experience with SalesForce or similar CRM systems for order and data management.
- Familiarity with e-commerce platforms, invoicing systems, and order management tools is a plus.
- Exceptional attention to detail and accuracy, with a keen eye for numbers and data integrity.
- A problem-solving mindset with the ability to resolve order-related issues quickly and efficiently.
- Excellent communication skills, both written and verbal, with the ability to interact with customers, sales, finance, and cross-functional teams.
- Strong prioritization and organizational skills, with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Ability to work effectively as part of a collaborative team. Fluency in English (written and spoken) is required. Additional languages are a plus.
- A degree in Business, Finance, Operations, or a related field.
