The Role

As a Recruiting and Office Operations Coordinator in our Austin, TX office, you will be a crucial driver in helping our team grow as we scale the company and mission. You will be responsible for complex scheduling interviews for our innovation teams in a variety of US locations. In addition, this role will also have some office operations related duties and special project work.  You  will support the talent team with projects, including recruitment events, office maintenance. Your primary goal will be maintaining a positive candidate experience and ensuring the office space is well kept.  You will be a proactive problem solver while ensuring interviews run smoothly and any reschedules or changes are handled with care and effectively communicated.

Here are some of the ways in which you’ll achieve impact:

  • Skillfully and confidently schedule and navigate complex candidate phone, virtual and onsite interviews with keen attention to detail across multiple time zones.
  • Communicate effectively with candidates and hiring managers, proactively ensuring all parties are aware of status, changes or reschedules.
  • Ensure all meeting rooms and interview resources are properly booked and clear to parties involved where to go or how to access.
  • Engage with Leaders of all levels
  • Manage reception of all visitors and greet in-office interview candidates 
  • Facilitate all onsite and virtual interviews to ensure good candidate experience 
  • Proactively check calendars and upcoming interviews and be reachable and flexible for any questions.
  • Support recruitment marketing and brand awareness efforts through job posting, page management and submissions for awards, events, etc. 
  • Book and manage candidate travel and expenses skillfully.
  • Plan and execute occasional recruiting events in partnership with the team. 
  • Have a can-do, team-first attitude with the willingness to support the team on a variety of tasks, regardless of how big or small. 
  • Stocking and organizing kitchen supplies, and maintaining equipment.
  • Create ownership of the office space by establishing and maintaining a clean, organized, and positive environment that allows our employees to do their best work.

Work experience: 

  • We are open to an entry-level or early career change individual who has experience staying calm under pressure and can provide examples of how they've remained highly organized in a fast-paced environment. Experience with high-volume scheduling or planning with calendar management is a plus.
  • Academics: Undergraduate degree desired.
  • Location: Required to work in the downtown Austin, TX office 5 days a week.
