The IT Deployment team is tasked with deploying IT hardware to employees on a global scale, including both new and existing office locations. The role of the IT Project & Program Manager I will play a pivotal role in our IT Deployment team to manage projects supporting the Global IT Hardware Asset Management lifecycle, encompassing laptops, mobile devices, monitors, peripherals, printers, service devices, and Yubikeys. We are seeking a highly skilled IT Project & Program Manager I to join our IT Deployment team, responsible for the global deployment of IT hardware to both new and existing office locations. This pivotal role will focus on managing projects within the Global IT Hardware Asset Management lifecycle, ensuring efficiency and alignment with our strategic objectives.

This role is essential for ensuring seamless project execution that aligns with our strategic IT goals and achieves desired outcomes within the IT Hardware Asset Management lifecycle.


What you’ll do:

  • Collaboration and Strategy:
    • Collaborate with the IT Deployment Manager to plan and execute projects focused on office builds and strategic OKRs.
    • Ensure projects align with strategic IT goals and desired outcomes within the IT Hardware Asset Management lifecycle.
  • Global IT Hardware Asset Management & Process management:
    • Support projects involving deployment of  laptops, mobile devices, monitors, peripherals, printers, service devices, and Yubikeys.
    • Serve as a Subject Matter Expert (SME) in planning, procurement, inventory management, hardware deployment, Mobile device management, Apple Device Enrollment Program, Single Sign On and managing the complete hardware lifecycle.
    • Develop and implement efficient processes and workflows for each stage of the hardware asset management lifecycle.
  • Bay Area & Global Office Builds:
    • Coordinate IT hardware deployment for new and existing offices worldwide.
    • Manage project planning and tracking; design technical instructions for asset management and office builds.
    • Work with local and foreign vendors to order and procure equipment and services for successful hardware deployment.
    • Build relationships and collaborating with Workplace & IT partners 
    • Support onsite deployment tasks 
  • Customer and Stakeholder Relations:
    • Understand customer satisfaction metrics to support VIPs, Sales, Engineers, contractors, and full-time employees.
    • Build and maintain relationships with cross-functional teams from peers to high-level stakeholders.
  • Jira Tool Proficiency & Scrum/ Kanban Methodology:
    • Experience in utilizing Jira for project tracking, executing Scrum methodology in Jira to prioritize project and operational work.
    • This includes prioritizing service requests .
    • Other tools to be familiar with: Zendesk, Oomnitza, Lucid Chart 
  • Project Management Key Responsibilities:
    • Project Planning and Initiation: Develop detailed project plans, including scope, timelines, and milestones.
    • Project Execution: Coordinate and manage tasks to ensure timely completion; facilitate biweekly stakeholder meetings.
    • Change Management: Oversee project transitions to operations; identify impacts on the HW asset management lifecycle.
    • Stakeholder Management: Confirm and manage roles; maintain efficient communication via Slack, email, and meetings.
    • Risk and Issue Management: Identify and manage risks and issues; escalate significant ones to IT Manager.
    • Project Monitoring and Reporting: Track performance against the plan; provide updates and use metrics for improvement.
    • Project Closure: Conduct lessons learned sessions; document findings and ensure project deliverables are completed.


What we’re looking for:

  • Project Management Expertise:
    • Proficiency in developing comprehensive project plans, covering scope, timelines, and milestones.
    • Experience in coordinating and managing project execution for timely delivery.
  • Global IT Hardware Asset Management:
    • In-depth knowledge of planning, procurement, Mobile device management, Apple Device Enrollment Program, Single Sign On and managing the complete hardware lifecycle.
  • Process Management:
    • Ability to develop and implement efficient processes and workflows for hardware asset management.
  • Collaboration, Communication, and Relationship Building:
    • Strong skills in building and maintaining relationships with cross-functional teams and stakeholders.
    • Experience collaborating effectively with Workplace & IT partners.
  • Change Management:
    • Capability to oversee project transitions to operations, managing lifecycle impacts.
  • Vendor Management:
    • Experience working with local and international vendors for equipment procurement and deployment and with international importation projects.
  • Tool Proficiency and Methodology Knowledge:
    • Proficiency in using Jira for project tracking and applying Scrum/Kanban methodologies to prioritize tasks.
  • Customer and Stakeholder Focus:
    • Understanding customer satisfaction metrics to support internal customers like VIPs, Sales, and Engineers.
  • Risk and Issue Management:
    • Ability to identify, manage, and escalate risks and issues to the IT Manager as needed.
