Your Impact

Are you the kind of person who thrives in a fast-paced environment where no two days are the same? Do you have a knack for juggling multiple priorities and making sure everything runs smoothly? If you’re looking for a role that goes beyond the typical “admin” duties, then we’ve got just the opportunity for you!

We’re on the hunt for an Executive Assistant who will support not one, but two dynamic executives at DISCO. This isn’t your typical EA role—think of yourself as a true business partner who’s essential to our leadership team’s success. Your impact will be felt across the organization as you manage complex and constantly evolving calendars, streamline communications, and ensure that both executives are always prepared to tackle the day’s challenges.

This exciting role requires superior attention to detail, the ability to meet tight deadlines, exceptional organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, along with professionalism in dealing with senior professionals inside the company, is essential. But it’s not all business—you’ll also need a good sense of humor! The successful candidate will possess the ability to complete complex tasks and projects quickly with minimal guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action in the face of ambiguity, all while showing grace under pressure. If you’re a whiz with budgets, have a talent for vendor management, and can handle shifting priorities with ease, you’ll play a crucial role in driving the success of our leadership team and the entire company.

  • Travel & Expense Management: Manage domestic and international travel itineraries, ensuring seamless logistics, and handle expense reports with precision.
  • Budget & Vendor Management: You’ll help manage budgets and oversee vendor relationships, ensuring we’re getting the best value and service.
  • Track & Drive Deliverables: Track key deliverables, follow up on outstanding items, and ensure timely completion of tasks.
  • Administrative Support: Manage all administrative support functions, including meeting preparation, video and conference call coordination, supply ordering, and team event coordination.
  • Team Care: You love taking care of a team, from organizing fun events to making sure everyone has what they need to succeed.
  • Annual Planning: Plan and maintain an annual calendar of events and schedules, ensuring smooth execution throughout the year.
  • Organization Charts: Maintain up-to-date organization charts to reflect the current team structure.
  • Communication Hub: You’ll be the go-to person for internal and external communications, always maintaining a professional and approachable demeanor.

Who You Are

  • 4+ years of executive assistant experience

  • Experience leading process improvements
  • Experience in a fast-paced, high-tech company
  • Experience designing processes to maximize efficiency
  • Experience managing multiple calendars

Even Better If You Have…

  • Experience: You’ve got 4+ under your belt as an Executive Assistant, with experience in budget management and vendor relations.

  • Flexibility: You thrive in environments where priorities shift rapidly, and you can pivot on a dime.

  • Sense of Humor: You’re someone who loves a good dad joke and can keep things light, even when things get busy.
